About AIMS

AIMS (Academic Internship Monitoring System) is a comprehensive web application designed to digitize and streamline the management of academic internship programs. It replaces manual paper-based tracking with a modern, GPS-enabled platform that benefits everyone involved.

The system serves three primary users: Administrators who oversee the entire program, Coordinators who manage student groups and verify compliance, and Students who log attendance, submit journals, and track their progress toward completing their required hours.

Built with Next.js and MongoDB, AIMS is a Progressive Web App (PWA) that works seamlessly on both desktop and mobile devices. It leverages modern web capabilities like geolocation APIs, real-time data synchronization, and responsive design to ensure accessibility for all stakeholders regardless of their device or location.

1. Acceptance of Terms

By accessing or using the AIMS (Academic Internship Monitoring System) application, you agree to be bound by these Terms of Use. If you do not agree with any part of these terms, you must not use the application.

2. Description of Service

AIMS is an academic tool designed to facilitate the monitoring and management of student internships. The platform provides attendance tracking, GPS-based geofence verification, journal submissions, announcements, and reporting capabilities for authorized users within academic institutions.

3. User Accounts & Responsibilities

Users are responsible for maintaining the confidentiality of their account credentials. You agree to provide accurate information during registration and to notify administrators immediately of any unauthorized use of your account. Sharing login credentials is strictly prohibited.

4. Acceptable Use

You agree to use AIMS only for its intended academic purpose. Prohibited activities include: attempting to bypass geofence verification, falsifying attendance records, submitting fraudulent journal entries, accessing other users' accounts, or any activity that disrupts the system's operation.

5. Location Data

AIMS uses GPS/location services to verify student attendance at assigned training sites. By using the attendance features, you consent to the collection of your location data during check-in and check-out processes. Location data is used solely for verification purposes.

6. Intellectual Property

All content, features, and functionality of AIMS are owned by the development team and are protected by applicable intellectual property laws. You may not copy, modify, distribute, or reverse-engineer any part of the application.

7. Limitation of Liability

AIMS is provided "as is" without warranties of any kind. The developers shall not be liable for any indirect, incidental, or consequential damages arising from the use or inability to use the application, including but not limited to data loss or service interruptions.

8. Modifications

We reserve the right to modify these Terms of Use at any time. Continued use of AIMS after changes constitutes acceptance of the updated terms. Users will be notified of significant changes through the announcements system.

9. Termination

Access to AIMS may be terminated or suspended at any time for violations of these terms or at the discretion of system administrators. Upon termination, your right to use the application ceases immediately.

10. Governing Law

These terms are governed by the laws of the Republic of the Philippines. Any disputes arising from the use of AIMS shall be resolved through the appropriate academic and legal channels.

Academic Information: Course, section, assigned HTE, and internship schedule.
Location Data: GPS coordinates collected during attendance check-in and check-out to verify presence at assigned training sites.
Usage Data: Login timestamps, attendance records, journal entries, and interaction logs within the system.

2. How We Use Your Information

Your information is used to:

Verify student attendance at assigned internship locations
Track internship hours and progress toward completion
Facilitate communication between students, coordinators, and administrators
Generate academic reports and analytics
Maintain system security and prevent unauthorized access

3. Data Storage & Security

All data is stored securely using encrypted database connections. We implement industry-standard security measures including password hashing, token-based authentication, and role-based access controls. Data backups are performed regularly to prevent loss.

4. Location Privacy

Location data is collected only when you actively initiate a check-in or check-out action. We do not track your location in the background or outside of attendance verification events. Location data is stored solely for attendance verification and is accessible only to authorized coordinators and administrators.

5. Data Sharing

We do not sell, trade, or share your personal information with third parties outside of the academic institution. Data access is restricted to:

Assigned coordinators for student supervision
The student themselves for their own records

6. Data Retention

Your data is retained for the duration of your internship program and the applicable academic records retention period. After this period, personal data may be anonymized or deleted in accordance with institutional data management policies.

You have the right to:

Access your personal data stored in the system
Request correction of inaccurate information
Request deletion of your data (subject to academic requirements)
Withdraw consent for location tracking (this may affect attendance verification)

8. Cookies & Local Storage

AIMS uses browser local storage to maintain your session and preferences. No third-party tracking cookies are used. Session data is stored locally on your device and is cleared upon logout.
